A logistics company in the Antwerp region processed dozens of orders a day by hand, through email and Excel. Each one took around 15 minutes: keying it in, checking it, passing it to the warehouse and letting the customer know.
The problem
The order process ran across several systems that did not talk to each other. Data-entry mistakes led to late deliveries and complaints, and the team lost three hours a day to repetitive admin that added nothing.
Analysis
We mapped the existing process end to end, from the order landing in the inbox to the confirmation going back out. Eight manual steps turned out to be fully automatable without changing a single tool the team already used.
The solution
We built a workflow that picks up incoming orders, validates them and processes them. Orders are read in, matched against stock, pushed to the warehouse and confirmed to the customer without anyone stepping in. Anything that falls outside the rules is flagged for a human to review.
The result
Order processing went from 15 minutes to under a minute. The team saves more than three hours a day, entry errors have all but disappeared, and customers get their confirmation far sooner. The build paid for itself in the first month.
01.95% less
time per order
From 15 minutes to under a minute. The team now spends that time on customers and growth instead of admin.
02.Errors
eliminated
Manual entry mistakes are effectively gone. Every order is validated before it is processed — no more wrong addresses or missing references.
03.Paid back in month one
The hours freed up and the errors no longer being cleaned up covered the cost of the build within the first month.
